This session will provide a practical framework for deciding when to pause, delay, or cancel events in response to medical incidents, sudden severe weather, wildfire smoke/poor air quality, or nearby emergencies. Government agencies, Universities, Non-profit organizations, schools and businesses host large and small events, such as performances, athletic events, graduations, community parades and more. The session will clarify decision authority (venue owner, renter/producer, artist, and public safety) and explain how to document it in rental agreements and permits, including clear thresholds and cancellation clauses. Considerations for pre-coordination with the NWS and local government officials, as well as special considerations for outdoor and remote/pop-up venues. We will explore concepts such as: - retaining (or requiring) transportation for evacuation and meeting time-to-clear requirements - developing local ordinances for government permitting processes that support local authority to cancel permitted events; and - short, interactive scenarios to help participants apply the framework Participants will walk through and discuss adaptable checklists, being able to share their own lessons and best practices, while learning from the speakers and other audience members.
